A notice to all members of The Locomotive & Carriage Institution, regarding GDPR.


As of Friday 25th  May 2018, General Data Protection Regulation (GDPR) comes into effect, changing the rules about sending e-mails and the personal information we are allowed to keep on file.


The GDPR replaces the Data Protection Act 1998. We currently hold personal details, as supplied through your completed Membership application form, plus e-mail details (for selected members), because they signed up to receive the Institution newsletter, as well as receiving “late news items and other Institution announcements”, in this format.


Generally none of the information we retain is passed onto third parties, except for address details, which are sent to the print company for mailing purposes only.  Occasionally when arranging Institution visits to some facilities, we are asked for members names and addresses for security purposes by the facility owner.  We will always inform you if this is the case in advance so you can decide if you wish to apply for the visit on these terms, or not.


If you still wish to receive communication from us, as at present, you do not need to do anything. However, if you wish to have your details removed, or have the details of the records we hold on you confirmed, then you will need to contact the Membership Secretary, informing him of your choice.  We will delete your information if you leave the Institution.


The Locomotive & Carriage Institution has looked into its responsibility under the GDPR regulations and deems the above process is sufficient to comply with the new regulations. The Institution will endeavour to keep all information secure and in the unlikely event of any breaches report them to the membership at the earliest opportunity.
